Terms of service

These terms cover use of Crew Pass, a workforce platform for security companies (inductions and licensing, rostering, time and attendance, and related tools) and the Crew Pass wallet, a free personal licence wallet available to workers. By creating an account or wallet, or by using Crew Pass, you agree to these terms.
Who operates Crew Pass
Crew Pass is operated by Crew Pass, ABN 27 740 322 170, of 10/89-97 Jones Street, Ultimo NSW 2007. General enquiries can be sent to [email protected].
The service
Crew Pass is offered two ways:
- Company accounts (a tenant subscribing to run its own workforce through Crew Pass): the company controls its own data, users, courses, workers, rosters and compliance records.
- The Crew Pass wallet: a free, personal identity a worker sets up for themselves, independent of any employer, to hold their own licences and tickets and choose when to share them.
Subscriptions and billing
Company accounts start with a 14-day free trial, no card required. Paid subscriptions are billed through Stripe on the plan and pricing shown at sign-up or on the pricing page current at the time. You're responsible for keeping billing details current. Fees are charged in advance and are not refundable except as required by law. We can change pricing for future billing periods with reasonable notice.
Acceptable use
You must not use Crew Pass to store or process information you're not lawfully entitled to hold, to misrepresent a worker's qualifications or licence status, to attempt to bypass security controls, or to interfere with the service or other users' use of it. A company account must not be used to collect or process data belonging to workers outside that company's own workforce.
Your responsibility for your own data
If you hold a company account, you're responsible for the accuracy of the information you and your team enter about your workers, including licence numbers, contact details and induction records, and for your own decisions about workforce compliance. Crew Pass provides tools to help you manage that information; it does not make compliance decisions for you and does not replace your obligations under workplace, licensing or other applicable law.
Licence and register check results are informational only
Where Crew Pass checks a licence or ticket against a State Government register, the result is provided as information to help you keep records current. It is not a legal determination of whether a person is licensed, qualified or permitted to work, and it should not be relied on as the sole basis for that decision. Register data can be delayed, incomplete or temporarily unavailable, and a register check inside Crew Pass is not a substitute for your own compliance obligations or, where required, direct confirmation with the relevant regulator.
The Crew Pass wallet
The wallet belongs to the worker who holds it, not to any employer. Sharing an item from your wallet with a company sends that company a copy for its own compliance record; it does not give that company, or Crew Pass, any other right to your wallet or its contents. You can unlink from a company or delete your wallet at any time, as described in the privacy policy. A company using Crew Pass has no relationship with, and no rights over, a worker's wallet beyond what that worker chooses to share with it.
Intellectual property
Crew Pass and its underlying software remain the property of its operator. Content you or your company upload (course material, worker records, documents) remains yours; you grant us only the licence needed to host, process and display it in order to provide the service to you.
Suspension and termination
We can suspend or terminate an account for a serious or repeated breach of these terms, non-payment, or where required by law. You can cancel a company subscription at any time through the billing portal; a wallet can be deleted at any time by its holder. Termination doesn't affect obligations that reasonably survive it, such as amounts already owing.
Disclaimers and liability
Crew Pass is provided on an "as is" and "as available" basis. To the extent permitted by law, we exclude all warranties not expressly stated in these terms. Nothing in these terms excludes, restricts or modifies any consumer guarantee, right or remedy under the Australian Consumer Law that cannot lawfully be excluded. Subject to that, and to the extent permitted by law, our liability to you is limited to resupplying the service or to the amount you paid for the service in the 12 months before the claim arose, whichever we choose.
Governing law
These terms are governed by the laws of New South Wales, Australia, and each party submits to the non-exclusive jurisdiction of its courts.
Changes to these terms
We may update these terms from time to time. The version number and "last updated" date at the top of this page will change when we do. Continuing to use Crew Pass after an update means you accept the revised terms.
